Who we are

Palaemon Maritime Limited (“Palaemon”, “we”, “us”) is the controller of personal data collected through this website. We are a company registered in Scotland, company number SC676335, at 272 Bath Street, Glasgow G2 4JR. For any privacy question or request, contact us at [email protected], +44 (0) 131 564 0256, or write to the address above.

What we collect

When you use a form we collect what you give us: name, work email, company, phone (optional), vessel details such as type, length and IMO number, and the route you choose for alerts. When you email or call us, we keep the correspondence. When you browse the site we collect usage data through cookies and analytics: pages visited, device and browser type, approximate location and how you reached us.

Why we use it, and our lawful basis

  • Replying to quote, trial and general enquiries. Steps you ask us to take before a contract, and our legitimate interest in responding to business enquiries.
  • Supplying a trial, service or contract. Performing our contract with you or your company.
  • Sending the plans, spec sheets, weekly reports and alerts you ask for. Your consent, which you can withdraw at any time.
  • Following up on an enquiry or download with relevant information about our service. Our legitimate interest in developing our business with the companies that contact us. You can object at any time.
  • Understanding how the site is used so we can improve it (analytics). Your consent to analytics cookies.
  • Keeping the site secure, and keeping business and accounting records. Our legitimate interest in running a secure website, and our legal obligations.

Where we rely on legitimate interests, we have weighed them against your rights and expectations. Our interests are to answer and follow up on business enquiries and to run and improve our website. You can ask us for details of this assessment.

Do you have to give us your data?

No. You are not required by law or contract to give us personal data. If you do not complete the fields a form marks as required, we cannot send what you asked for or reply to your enquiry. We do not make decisions about you based solely on automated processing.

Who we share it with

We use service providers who act as our processors and only handle data on our instructions: HubSpot (forms, CRM and email), Google (Google Analytics for website analytics, and Google Workspace for email) and our website hosting provider. We may also share data with our professional advisers, and with authorities where the law requires it. We do not sell personal data.

International transfers

Some of our service providers store or access data outside the UK, including in the United States and the European Economic Area. Where data leaves the UK, we make sure it is protected by UK adequacy regulations (including the UK Extension to the EU–US Data Privacy Framework where the provider is certified) or by the ICO's International Data Transfer Agreement or the UK Addendum to the EU Standard Contractual Clauses. Contact us for a copy of the relevant safeguards.

How long we keep it

Enquiry data for as long as needed to deal with the enquiry and any follow-up; if no business results, we delete or anonymise it once it is no longer needed for that purpose. Customer and contract records for as long as the contract runs and then for the period required by law for tax and accounting records. Subscription data until you unsubscribe, after which we keep only your email address on a suppression list so we do not contact you again. Analytics data in line with the retention period set in Google Analytics.

Your rights

Under UK data protection law you have the right to be informed about how we use your data, and to ask for access to it, correction, deletion, restriction of processing, or a copy in a portable format. You can object to processing based on legitimate interests, and you can always object to direct marketing. Where we rely on consent, you can withdraw it at any time; every email has an unsubscribe link. Withdrawing consent does not affect processing carried out before you withdrew it. To use any of these rights, email [email protected]. We will reply within one month.

Complaints

If you are unhappy with how we handle your data, please tell us first so we can put it right. You also have the right to complain to the Information Commissioner's Office, the UK regulator: ico.org.uk/make-a-complaint or 0303 123 1113.

Cookies

We use essential cookies to run the site; these do not need your consent. With your permission we also use analytics cookies (Google Analytics, HubSpot) to understand how the site is used and which pages lead to enquiries. Analytics cookies are only set if you choose “Accept analytics” in the cookie banner; if you choose “Reject”, or make no choice, they are not set. We remember your choice on your device for 12 months. You can change your mind at any time using “Cookie settings” at the foot of every page, and withdrawing consent is as easy as giving it. You can also block or delete cookies in your browser settings; the site will still work.
